Engineering Fair
We paid $2485.59
Income was $1600
Loss was $870
We only had 8 paying booths, we should have charged $300 per to make up the short fall.
The key cost fixture is the setup deliver take down cost which is $1300. The key to breaking even is to balance the fixed costs with the variable cost of $70 per booth. The more booths we sell the lower the cost. 10 paying booths would sustain $250 cost per booth.
To break even at $200 per booth we would require 15 booths sold.
I recommend we up per booth charge to $250 per booth for 2025, and sell 10 booths to break even.

Great seeing you and the other Engineering Chapters yesterday.
Just wanted to give you a quick update on the date for Popsicle Stick Bridge (PSB) 2025, it will be on Saturday March 1, 2025 at the Museum of Flight.
I have cc’d our amazing PSB co-chairs Tulsi Chudgar and Sarah Gillespie for any questions/coordination.
I have also cc’d our K12 Outreach email as well for future coordination of an ASCE Table at the PSEC Engineering Fair next year.

Engineering Banquet 2025:

Hi Andrew,
25% of the catering cost was for O’devures ($2,733). I believe that they could be eliminated without adversely impacting the event. We need to look at the cost of the event as well as how much to charge attendees.
If we planned for 70 paying attendees, the cost for the meal and a prorata cost for the bar would be about $98 if we did not have O’devures. However, the meal cost may increase for 2025. If this option is selected, we could charge $1,000 for a table and $110 for individuals. The late fee could be $135.
In your speadsheet, you need to reduce the meal cost if you only have 70 paid attendees.

One thing I noticed is that McCormick’s charged us for 100 people O’devures. For next year we need to re-evaluate this.
Overall if we should have asked for $125 per person assuming we take a loss on the awardees.
Our charged cost per person was $91 based on most attendees at tables.
My recommendation is new table cost $1200 or $120 per person for 2025, $125 for individuals. $150 for late fee.
