From last month
* We lost money on both the Banquet ($4463) and Engineering Fair ($870)
* This is not sustainable, Andrew to write up budget from the two events and send to the team to consume for next meeting. Likely need to charge more for banquet and engineering fair.
* Engineering fair can benefit from better planning as well, obtain more paying sponsors Action Andrew
* Planning for 2024/25
* Sam/Andrew requested 2025 (Boeing) Sponsorship, follow up this summer
* Tiffany requested funds from Crane, Alexander (SME) from Kenworth
Engineering Fair
We paid $2485.59
Income was $1600
Loss was $870
We only had 8 paying booths, we should have charged $300 per to make up the short fall.
The key cost fixture is the setup deliver take down cost which is $1300. The key to breaking even is to balance the fixed costs with the variable cost of $70 per booth. The more booths we sell the lower the cost. 10 paying booths would sustain $250 cost per booth.
To break even at $200 per booth we would require 15 booths sold.
I recommend we up per booth charge to $250 per booth for 2025, and sell 10 booths to break even.
Andrew
Need someone to shadow for 2025.
Good morning Andrew,
Great seeing you and the other Engineering Chapters yesterday.
Just wanted to give you a quick update on the date for Popsicle Stick Bridge (PSB) 2025, it will be on Saturday March 1, 2025 at the Museum of Flight.
I have cc’d our amazing PSB co-chairs Tulsi Chudgar and Sarah Gillespie for any questions/coordination.
I have also cc’d our K12 Outreach email as well for future coordination of an ASCE Table at the PSEC Engineering Fair next year.
Thanks,
Ron
Engineering Banquet 2025:
* April 26th 2025, Museum of Flight penciled in – Sam requests approval to move forward
* Already Asked for Boeing $’s/Crane $’s
* Alex is asking from Kenworth,
* Paul can we ping some of the construction/structural firms?
* Lost $6k Last Year
*. Andrew to send out budget to propose higher cost tables for next year, investigate ways to conserve $’s
* Nominations are due on February 21st
* 2024 Raised Price $100 single, $120 Late, $900 table, $1200 table late (late is after April 21st)
Hi Andrew,
25% of the catering cost was for O’devures ($2,733). I believe that they could be eliminated without adversely impacting the event. We need to look at the cost of the event as well as how much to charge attendees.
If we planned for 70 paying attendees, the cost for the meal and a prorata cost for the bar would be about $98 if we did not have O’devures. However, the meal cost may increase for 2025. If this option is selected, we could charge $1,000 for a table and $110 for individuals. The late fee could be $135.
In your speadsheet, you need to reduce the meal cost if you only have 70 paid attendees.

Attached is the actual costs from catering from the 2024 Banquet.
We had 80 attendees. 70 Paid, 10 individual, 60 from full table.
Total income was $6400
Catering Cost was $10153.54 of the total $11490.96 cost of the event.
One thing I noticed is that McCormick’s charged us for 100 people O’devures. For next year we need to re-evaluate this.
Overall if we should have asked for $125 per person assuming we take a loss on the awardees.
Our charged cost per person was $91 based on most attendees at tables.
My recommendation is new table cost $1200 or $120 per person for 2025, $125 for individuals. $150 for late fee.
